Financial Services Specialist

The State Board for Educator Certification will require all first time applicants for an initial credential to be fingerprinted as part of a national criminal background check. A cost of up to $49. 00 will be charged for fingerprinting.
PRIMARY PURPOSE:
To provide business and administrative support to facilitate the efficient operation of Financial Services department.
MAJOR RESPONSIBILITIES AND DUTIES:
  • Process campus money bags received daily from district courier, which includes confirming the number of bags declared, reconciling totals, and preparing and balancing the total daily deposit.
  • Process Financial Services department daily bank deposits, utilizing the appropriate bank account deposit slip, applicable budget code, and entry of totals into deposit tracking spreadsheet.
  • Post cash receipts (except miscellaneous remote deposits) from daily bank deposit report into District ERP system
  • Process ACH payments from other entities, including Williamson and Travis counties daily tax deposits, by obtaining investment officer signature, faxing to investment pool, and verifying data.
  • Generate, process, and track purchase requisitions, purchase orders, invoices, and enter journal entries as directed.
  • Process Financial Services department procurement card transactions, track receipts, enter budget code into bank system, and reconcile month-end statements for budget manager approval.
  • Open, date stamp, and distribute department mail to appropriate staff; may entail some research to determine proper distribution.
  • Answer main phone line, respond to inquiries from internal and external parties, and route to appropriate personnel.
  • Determine status of stale-dated checks by generating letters and making phone calls to the appropriate parties, and refer to State Comptroller s Office in accordance with Texas unclaimed property rules
  • Prepare invoices and maintain records for accounts receivable.
  • Draft/modify correspondence (letters, memos, reports), transcribe notes, and develop presentations as requested.
  • Maintain manual and electric documents, files, and records to include Financial Services department calendar to coordinate workflow and meetings.
  • Research and reconcile discrepancies of financial information and documentation.
  • Manage office key system.
  • Monitor department budget, communicate funding needs for department expenditures, and aid in the development of annual budget.
  • Order and maintain inventory of office equipment and supplies.
  • Perform general clerical duties including, but not limited to, copying, faxing, mailing (including UPS and FedEx), and filing.
  • Assist accounting, payroll, and accounts payable staff as needed.
  • Demonstrates regular and prompt attendance.
  • Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
  • None

GENERAL QUALIFICATION GUIDELINES
Education/Certification/Experience:
  • Graduation from an accredited high school or GED.
  • Experience in administrative support work in an office environment.

Knowledge/Skills/Abilities:
  • Knowledge of basic bookkeeping procedures; general office equipment and computer (including 10 key by touch); and spreadsheet, word processing software required, and database systems.
  • Skills in organization, attention to details, accuracy, and problem solving; communication; customer service and interpersonal relations.

Mental/Physical/Environmental Demands:
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Frequently communicates with other employees or public. Must be able to exchange accurate information.
  • Ability to understand, remember, and communicate routine, factual information.
  • Ability to organize and prioritize own work schedule on short-term basis.
  • Ability to make decisions which have moderate impact on immediate work unit.
  • Ability to compose letters, outlines, memoranda, and basic reports and/or to orally communicate technical information.
  • Ability to communicate with individuals utilizing a telephone, computer or other electronic device.
  • Use standard office equipment including personal computer and peripherals.
  • Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.
  • Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching.
  • Occasional light lifting and carrying (less than 15 pounds).
  • Work with frequent interruptions.
  • Maintain emotional control under stress.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
